Changes to the LINZ Data Service Logon

Later this year, the LINZ Data Service (LDS) will be moving to a cloud platform hosted by our current service provider Koordinates, giving us the ability to publish even more data than we do now, and to update it more quickly.

In preparation for this you’ll need to complete a quick sign up so your user account can be migrated to a Koordinates ID.

What does this mean for LDS users?

From midnight (NZST) on Thursday 29 June you’ll be asked to sign up for a Koordinates ID when you next log in to the LDS.

Koordinates ID is a single sign-on for all sites on the Koordinates platform. It is currently used by a range of agency data services, which means you’ll also have easier access to more open data.

When you log-in to the LDS, you will be asked to verify your email address, and to create a password for your Koordinates ID. You will then be asked to sign in to migrate your LDS account information to your Koordinates ID. By giving permission to migrate your account you will be accepting Koordinates Terms of Use.

You’ll also be asked to provide your occupation and industry. This information will only be used by LINZ to better understand the way our data is used so we can ensure future services meet the needs of our customers.

Your existing download history and API tokens (if you have used the APIs) will be migrated to your new account. Any pre-existing API tokens will continue to work uninterrupted even if you don’t migrate your account until July 2018  

Why are we making this change?

Moving the LDS to the Koordinates cloud platform will improve the performance of the service, allow for more rapid upgrades and ultimately make it easier for us to publish more data.

Why are you moving the LDS to a cloud platform?

Moving (or ’migrating’) the LDS to the Koordinates cloud platform will improve the performance of the service; allowing for more rapid upgrades and ultimately make it easier for us to publish more data, including large datasets.

What will happen when the LDS migrates?

When the user accounts migrate to the cloud you will be notified by email, and when you next log in to the LDS you will be asked to migrate your LDS account to a Koordinates ID. This will be a one time process that will ask for an email address (that will be verified), password, and a request for your industry and occupation. The new sign-up will create a Koordinates ID.

What will be the benefits to me as a user?

The cloud based platform will enable us to publish more data for you to access and reuse. This move to the cloud is just one part of our planned continuous improvements to the service.   In the next 12 months we also intend to update the search function and further improve our user experience.

Is my personal data safe when you migrate it to the cloud?

Yes. The personal data of our customers is important to us and this change will adhere to the same strict processes as we do now to protect it. We have followed due diligence and industry best practice in making this change, and these processes will be subject to regular security reviews.

How long do I have to decide to sign up to Koordinates ID?

You will be able to sign up anytime until July 2018. However, you will need a Koordinates ID to log in to any site on the Koordinates platform, and only logged-in users can download data and create API tokens. Therefore, to continue full access we recommend you sign up as soon as possible. After July 2018 you can still sign up to the Koordinates ID but you will lose your data use history.

What happens if I don’t sign up to Koordinates ID?

You will still be able to access the LDS until July 2018 if you are already logged in to your account. From July 2018 you will no longer have access unless you migrate to the Koordinates ID. If you log out of your LDS account between now and July 2018 then you will have to sign up for the Koordinates ID. Your account will remain under the LINZ Data Service Terms of Use until you sign in to Koordinates ID and the Koordinates Terms of Use.

If I don’t sign up to Koordinates, will my API tokens stop working?

No; not immediately. To ensure continuity of service, even if you don’t verify your account, your existing API tokens will continue to work until July 2018. However, you won’t be able to create new tokens or delete existing tokens without migrating your account to Koordinates ID.

When will this happen?

The migration of user details will happen at midnight on Thursday 29 June. The migration of all the data will be happening later in the year.

Who are Koordinates?

Koordinates is a New Zealand-based technology company that has worked in open data publishing for nearly a decade. Koordinates already provide the LDS as well as data service sites for other government agencies, including Stats NZ and the Ministry of Defence. 

I have a Personal Data licence. Do I need to reapply for it?

No. When you re-sign up with a Koordinates ID and access the LDS, your email address will recognise your previous membership of owner datasets so you do not need to reapply. However, if you sign up with a new email address then you will have to accept the terms and conditions of the LINZ Licence for Personal Data 2.0 and be approved.

What is Koordinates ID?

Koordinates ID is a secure single sign-on authentication service for all sites on the Koordinates platform. Koordinates ID allows users to access any site on the Koordinates platform with a single email address and password.

Why do I need to get a Koordinates ID?

In 2017, the LINZ Data Service, MfE Data Service and LRIS Portal from Landcare Research are all migrating their sites to a Koordinates cloud platform, away from current ‘on premise’ installations.

All sites on the Koordinates cloud platform use a Koordinates ID, which means that users of these three sites will need to sign in to migrate and merge their account information to a Koordinates ID.

Why are these data services migrating?

The LINZ Data Service, the MfE Data Service and the LRIS Portal are currently hosted 'on premise'. By migrating to a cloud platform, these sites will be easier to maintain and upgrade, and be more scalable should agencies wish to publish more data. There are also likely to be noticeable performance improvements.

Why do I have to create a new password?

If you don’t have an existing Koordinates ID, then you will need to create a password for this new account. Koordinates will only be migrating account information — such as download history and API tokens — and not passwords.

Why do I have to verify my email address?

In order to migrate your existing account to a single Koordinates ID — or merge your account with an existing Koordinates ID — we need confirmation from you this is actually your email address.

I’ve been using a fake email address. What happens to my account?

You’ll need to create a new account with an email address you can verify.

I have an account that’s shared with other members in my team, and I can’t access the inbox to click the verification email.

You’ll need to create a new account as all Koordinates IDs are required to be specific to an individual user (and not, for example, shared within a team). This is not the same as a Company Account, which will also need to be migrated.

How do I know if I’ve got a Koordinates ID?

The Koordinates site can tell this automatically after you enter your email address the next time you log in. If you have a Koordinates ID and have verified your email address, you will be asked to give permission to merge these accounts. This is done by following the guided online process.

Koordinates ID is currently used for all ‘cloud based’ sites on the Koordinates platform. This includes sites for Stats NZ, NZ Defence Force and itself. If you can log-in to any of these sites, then you have a Koordinates ID.

What if I already have a Koordinates ID?

You’ll need to give Koordinates permission to merge your accounts with these sites to your existing Koordinates ID. You may also need to verify your email address. You will be guided through this process when you sign up to Koordinates and can give your permission by clicking on a button when prompted.

I received emails from more than one agency. What do I do?

You will need to follow the instructions on each email. You will need to give Koordinates permission to migrate and merge each of these accounts next time you log in. This will be done by guiding you through an online process. After the accounts have been migrated and merged under your Koordinates ID, you’ll be able to use it to access any site on the Koordinates platform. Any account information you have with one of these sites — such as download history or API tokens — will remain accessible and unchanged.

Why aren’t you migrating the users and the data at the same time?

To minimise any potential user disruptions it has been decided to perform the migration in several stages. Migration of the user accounts is the only part of the overall process that requires users' participation. All other migration steps will be performed in the background later in the year, with full continuity of the services.
