Keep your digital certificate and password secure

Find out your obligations to protect Landonline by keeping your digital certificate and passwords safe.

Storing your passwords and passphrases

Landonline users are responsible for keeping passwords and passphrases confidential.

You'll select a passphrase when you set up your digital certificate. If you forget your passphrase, call Customer Support for help in resetting it.

We recommend that passwords and passphrases be stored in accordance with your firm's security policy.

Digital certificate holder's obligations

As a digital certificate holder, you are responsible for safeguarding your Landonline username and password, passphrase and digital certificate (DC).

You are responsible for ensuring that you, your staff, and your consultants and contractors, comply with user obligations as reflected in:

  • rule 11.4 of the Lawyers and Conveyancers Act (Lawyers: Conduct and Client Care) Rules 2008 (for lawyers)
  • rule 13 of the Lawyers and Conveyancers Act (Conveyancing Practitioners: Conduct and Client Care) Rules 2008 (for conveyancers).

These rules set out that a lawyer or conveyancing practitioner must take all reasonable steps to prevent any person perpetrating a crime or fraud through the lawyer’s or conveyancing practitioner’s practice. This includes taking reasonable steps to ensure the security of and access to electronic systems and passwords.

You should also follow advice in the New Zealand Law Society Property Law Section Guidelines:

Your digital certificate is for yourself only and can't be shared with another person. 

This rule allows us to monitor system access and detect any unauthorised attempts to access the system.

Careless use of your digital certificate, or failure to protect the security of it can compromise the system and your personal certification responsibilities under sections 27 to 29 of the Land Transfer Act 2017 and the Land Transfer Regulations 2018.

Storing your digital certificate

Digital certificates may only be backed up for disaster recovery purposes. Your back-up should be stored securely to prevent loss or unauthorised use.

You may not have multiple copies of your digital certificate for any purpose or have your digital certificate installed on more than one computer.

Delegation of Landonline processes

You can delegate most office processes to your staff or IT consultants. However, you must never share or disclose your reference code, authorisation code, password or passphrase, even to trusted colleagues. You must enter your reference code, authorisation code, password and passphrase personally.

Common breaches

The following are considered security breaches.

If you knowingly:

  • share your reference code and authorisation code to allow IT support to download your digital certificate
  • knowingly share your digital certificate
  • give your passphrase to your IT support person or let them set it
  • install your digital certificate on more than 1 device.
  • share your passphrase with others, such as colleagues or temporary staff who do not have their own digital certificate
  • let others use your workspace complete work for you in Landonline.

If someone else:

  • downloads your reference and activation codes without you present
  • tries to obtain a reference code or activation code by implying they are the digital certificate holder
  • requests a password reset, which indicates that someone else has access to your digital certificate.

It's also a breach if a Trusted Contact calls Customer Support and asks for the activation code for the digital certificate holder.

When a breach occurs

If a breach of the Landonline Terms and Conditions is suspected, your Landonline access will be suspended while an investigation is completed. You will not be able to access Landonline during this time. 

If the breach is confirmed we will be in touch with further instructions. 

In most instances reinstatement will require written acknowledgement of the breach and an assurance of future compliance.

When someone takes your password

If you think your password or passphrase security has been compromised and you no longer have access to Landonline, contact our Customer Support team on 0800 665 463.
