When setting up a dealing at least 1 instrument and 1 primary contact role must be entered before a dealing can be saved and a dealing number issued.
Instruments should be organised in the order that they are to be registered on the affected title.
Preparing an instrument in a dealing includes identifying the instrument type and the affected titles.
Limits for instruments
You can add more than 1 of the same instrument types to a dealing.
You can have up to:
- 50 instruments per dealing
- 300 titles per instrument
- 350 titles per dealing.
For dealings that contain more than the limits for instruments or titles per instrument, contact Customer Support on 0800 665 463.
1: Select or enter the instrument type.
When you create a dealing you'll be taken to the Instrument & Roles page. On the page will be an Instrument box.
Click into the Add Instrument field. A list of the most commonly used instruments will appear.
Select the instrument type you need, or start typing the instrument description or code, such as DM, T or M to filter the list of instruments and find the correct one.
You must complete the other instrument details to prepare the instrument.
Quick add dealing templates
Select the Quick add instruments menu to quickly add common instruments associated with a particular transaction, such as a subdivision or boundary adjustment.
Highlight the relevant dealing type in the menu and select Add at the end of the row. This will add the most common instruments associated with the selected dealing type, in the registration order they would commonly follow.
If you need to register Council certifications under sections 223 and 224 of the Resource Management Act 1991 as part of your dealing, also add the Council Consent (C223 & C224) template to add these instruments to the top of your dealing.
However, it's more common for Territorial Authorities to attach certifications to the Cadastral Survey Dataset as supporting documents, or for a surveyor to attach the certifications by scanning them. In these scenarios you don't need to register these certifications as instruments in your dealing.
Add additional easement instruments to Fee Simple Subdivision
You can add additional easement instruments when using the Fee Simple Subdivision template by selecting the down arrow next to the Fee Simple Subdivision dealing type.
The arrow opens an Easement instrument field, where you can type in or use the up and down arrows to set the number of easements required for the subdivision.
Select Add with extras to add the Fee Simple Subdivision template, including the specified number of easements to your dealing.

2: Add instrument descriptor, if needed.
You can add an instrument descriptor to help you differentiate between multiple instruments of the same type. For example, you have 5 easements on a dealing and want to be able to quickly tell them apart.
Open the instrument.
Enter description in Add descriptor for instrument field.
This field is free text. You can enter words, numbers and symbols, up to a maximum of 50 characters.
What you enter only appears on the Instrument & Roles screen. It won't appear on any preview or other screen.
Select Save.
3: Add additional instruments, if needed.
To add additional instruments to a dealing select Add Instrument.
An Instrument box will appear below any existing instruments.
3: Add instrument descriptor, if needed.
You can add an instrument descriptor to help you differentiate between multiple instruments of the same type. For example, you have 5 easements on a dealing and want to be able to quickly tell them apart.
Open the instrument.
Enter description in Add descriptor for instrument field.
This field is free text. You can enter words, numbers and symbols, up to a maximum of 50 characters.
What you enter only appears on the Instrument & Roles screen. It won't appear on any preview or other screen.
Select Save.
Edit, delete or move instruments and more
To quickly reorder your instruments select the 6-dot icon to the left of an instrument and drag and drop it into the new order.
Remember to select Save.
Use the 3-dot menu at the end of the row to find more options, for example, reorder the instrument list, prepare an instrument or delete an instrument.
You can't change the instrument type once you've selected it. You must delete the one you don't want and use the Add instrument button to add the one you do want.
