Change Individual Details form
You need to complete a Change Individual's Details form when you or a user:
- updates contact details in Landonline
- wants to change their Landonline role, for example, to system manager
- wants to change access type, for example, from Web Search to Survey
- wants certify and sign rights.

Before you start
Only complete fields where you are making changes. Leave the rest of the fields blank.
You must complete all fields marked with a red asterisk.
1: Complete the Current Details section.
In the Email address to receive confirmation field enter an email address you wish to receive emails about this application.
Enter your firm's Landonline account name in the Account Name field.
Enter your firm's Landonline code in the Account Code field.
Enter the user's Landonline user ID in the Landonline User ID field.
Enter the name and date of birth of the user. The name must appear exactly as it does on their proof of identity.
The next fields are optional. Add only information you're changing, leave the rest blank.
2: Change user's name, if needed.
Enter the user's new name into the name fields, if needed, or skip this step.
Users will need to provide a certified copy of a deed poll or marriage certificate as proof for the new name.
Users with certifying and signing rights will need a new digital certificate.
3: Update your email, if needed.
If needed enter a new email into the Email field in the Personal Contact Details section.
This email address must be unique to the user and cannot be accessed by anyone else.
The user also needs to update their email address in Landonline.
4: Update user access, if needed.
If needed, you can update the type of access a user has in Landonline.
For example, change from Web Search to Survey.
Or, you can add certify and sign rights.
Select the arrow in the Type of User Access field. This brings up a menu of user access types.
Select the relevant type from the menu.
A Role type field will appear. Select the arrow to bring up the role type menu.
Select the relevant role.
If applying for certifying and signing rights you'll be sent an email requesting a copy of your practising certificate.
5: Apply for a Landonline role, if needed.
System managers and Trusted Contacts are responsible for the management of the firm's Landonline account.
Understand the responsibilities of these roles:
Select the checkbox next to the role you are applying for.
6: Review changes, then submit.
Review your changes, then select Submit.
You'll be sent an email with relevant PDF forms to complete.
7: Email supporting evidence.
You'll receive an email requesting supporting evidence if applying for signing rights or changing your name.
Supporting evidence must be scanned as clear, full colour PDFs and attached to the forms sent to you and emailed to:
Proof of name change
Users will need to email a certified copy of a deed poll or marriage certificate, attached to the Proof of Identity legal name change form. The form will need to be certified.

Applying for certify and signing rights
Skip this step if LINZ already has certified proof of identity and evidence from the user.
Users applying for certify and signing rights will need to attach their proof of identity to the Proof of Identity form.
Proof of identity can be:
- both sides of a driver's licence
- a passport
- a firearm licence.
Then, users need to have their proof of identity certified on the form.
Users will also need to supply evidence for certify and signing and attach it to the evidence for certify and sign rights form.
Dealing users evidence
Evidence can be 1 of the following:
- Annual Practising Certificate from the New Zealand Law Society
- Annual Practising Certificate from the New Zealand Society of Conveyancers
- Letter of Delegation from the Māori Land Court.
Survey users evidence
Survey users need to provide a copy of their Cadastral Survey Licence from the Cadastral Survey Licencing Board.
8: Check your email for confirmation.
You'll hear from us within 5 working days of you emailing us your supporting evidence.
If we don't receive your evidence within 10 working days we'll cancel your request and you'll need to apply again.
